Scheduling Recurring Appointments

You can now schedule recurring appointments with your clients in addition to one-time appointments. This feature is perfect for maintaining consistent coaching sessions without having to manually schedule each appointment.

Scheduling Options Available

When creating an appointment with a client, you have three options:

  1. Schedule Now - Book an immediate appointment

  2. Schedule Later - Schedule a one-time appointment for a specific date and time

  3. Recurring - Schedule appointments that repeat on a regular basis (NEW)


How to Schedule a Recurring Appointment

Step 1: Navigate to Appointments

Go to your Appointment > Calendar and click on Schedule (on the top right corner) or Schedule Now (at the centre) if nothing has been scheduled yet.

Step 2: Select Your Client

Search for the client you want to schedule the recurring appointment with.

Step 3: Configure Appointment Details

Before setting up the schedule, you'll need to configure the basic appointment details:

Service (Duration): Select the type and duration of your appointment:

  • Video Call: Choose from 15 min, 30 min, 45 min, or 60 min

  • In Person: Choose 15 min

Select Trainer: If you have a team of trainers, you can select which trainer will conduct the appointment. By default, it will show "Coach (ME)" but you can assign it to any trainer on your team.

Location: The location is set to In App for all appointments.

Step 4: Choose "Recurring" Option

Under the Schedule section, you'll see three scheduling options:

  • Schedule Now

  • Schedule Later

  • Recurring

Select Recurring to set up appointments that repeat automatically.

Step 5: Set the Start Date

Choose the date when you want the recurring appointments to begin. This will be the date of your first appointment in the series.

Step 6: Select Frequency

Choose how often you want the appointments to repeat:

Weekly: Appointments repeat every week on the days you select Monthly: Appointments repeat every month on the dates you select

Step 6A: For Weekly Frequency - Choose Days of the Week

  • Select which day(s) of the week the appointment should occur

  • You can select multiple days (for example, every Monday and Wednesday)

  • Selected days will be highlighted

Example: Selecting Monday, Wednesday, and Friday will create appointments on those three days every week.

Step 6B: For Monthly Frequency - Choose Days of the Month

  • Select which date(s) of the month the appointment should occur

  • You can select multiple dates (for example, the 1st, 15th, and 30th of every month)

Example: Selecting the 1st, 15th, and 30th will create appointments on those dates every month. Selecting "Last Day" will create appointments on the 31st in months with 31 days, 30th in months with 30 days, and 28th/29th in February.

Step 7: Set the End Date

Choose when you want the recurring appointments to stop. This determines the last date an appointment will be automatically created in the series.

Step 8: Configure Time Slot Settings

Choose how you want to set time slots for your recurring appointments:

Same Time on All Days:

  • Set one time slot that applies to all recurring appointments

  • Example: Every appointment occurs at 10:00 AM

  • Best for maintaining consistent scheduling across all sessions

Different Times on All Days:

  • Customize the time slot for each selected day or date

  • Weekly example: Mondays at 10:00 AM, Wednesdays at 2:00 PM, Fridays at 4:00 PM

  • Monthly example: 1st of the month at 9:00 AM, 15th of the month at 3:00 PM

  • Best for accommodating your varying availability throughout the week or month

Step 9: Review and Confirm

Review the summary of your recurring appointment settings:

  • Start date

  • Frequency (Weekly or Monthly) and selected days/dates

  • End date

  • Time slot(s)

Click Save to create your recurring appointments.

Important Things to Know

Managing Your Recurring Appointments

Once created, you can view all upcoming recurring appointments in your calendar. Each appointment in the series can be managed individually if needed.

Rescheduling or Canceling Appointments

  • You can edit or cancel a single appointment within the series without affecting the other appointments.

  • You can also edit or cancel the entire recurring series at once.

Client Notifications

Your clients will receive notifications for their appointments according to your notification settings.
