Zapier Integration Guide

Welcome to FitBudd on Zapier! This guide will walk you through creating Zaps using our FitBudd app, enabling you to automate tasks and streamline your fitness business processes.

What is Zapier?

Zapier is a web-based automation tool that connects your favorite apps, enabling them to work together seamlessly. A "Zap" is an automated workflow that consists of a trigger (an event that starts the workflow) and actions (tasks performed as a result).

Example 1

Whenever you have a new lead client on your app - they can automatically receive a custom email from Gmail.

Example 2

When a client purchases a new plan from your app or website, they are automatically added to your "subscriber" list on Mailchimp.


FitBudd on Zapier

By integrating FitBudd with Zapier, you can automate repetitive tasks and focus more on what you love—training your clients. Follow the below steps to create a "ZAP" with Fitbudd.

Step 1: Sign Up and Log In

  1. Sign Up for Zapier: If you don't already have a Zapier account, sign up at zapier.com.

  2. Log In: Log in to your Zapier account.

Step 2: Connect FitBudd to Zapier

  1. Go to My Apps: In the Zapier dashboard, click on "Apps" from the left-hand menu.

  2. Search for FitBudd: Type "FitBudd" in the search bar and select it from the list.

  3. Add New Connection: Click on the "Add Connection" button.

  4. Authenticate FitBudd: Follow the prompts to log in to your FitBudd account and authorize Zapier to access your FitBudd data.

    Note: Ensure you log in with the owner/admin account, as the data fetched is based on how much access a particular user has.

Step 3: Create a New Zap

  1. Create a Zap: Click on the "Create" button in the top left corner of the dashboard. Click on “Zaps”. A new screen will open where you can start creating your Zap.

  2. Name Your Zap: Give your Zap a descriptive name.

Step 4: Set Up the Trigger

  1. Choose App & Event:

    • In the "Trigger" section, search for and select "FitBudd".

    • Choose the trigger event that will start your Zap (e.g., "New Active User", "New Web Lead" etc.).

  2. Set Up Trigger:

    • Click continue. Confirm your Account Info and click continue again. And finally, Test the trigger.

  3. Test Trigger:

    • Test the trigger to ensure Zapier can retrieve data from FitBudd.

Step 5: Set Up the Action

  1. Choose App & Event:

    • In the "Action" section, search for and select the app you want to connect with FitBudd (e.g., Google Sheets, Mailchimp).

    • Choose the action event that should occur when the trigger fires (e.g., "Create Spreadsheet Row", "Add Subscriber").

    • Authenticate the Action App by using your credentials.

  2. Set Up Action:

    • Map FitBudd data to the fields in the action app. For example, map the “Email” field of FitBudd web lead data to the Subscriber Email in Mailchimp's new connect.

  3. Test Action:

    • Test the action to ensure it performs as expected.

    Step 6: Turn On Your Zap

    1. Turn On Zap: Once your trigger and action are set up and tested, turn on your Zap.

    2. Monitor and Refine: Monitor your Zap's performance and refine it as needed to ensure it works seamlessly.

Triggers when a user status is changed to 'Inactive'.

- Occurs only the first time the status changes to Inactive.

New Trial User

Triggers when a user starts the trial plan.

- applicable if the purchased plan has intro-offer or trial days

New App Lead

Triggers when a new lead is created via app.

- applicable when a potential client signs up on the trainer’s client app

New Plan Purchase

Triggers when a user purchases a plan.

- Applicable only on the first purchase.
- Applies to both One-Time and Subscription pricing options.
- For subscriptions with an intro offer or trial period, triggered upon payment of the first installment (conversion point).
- Applies only to Membership payment plans.
- Not applicable to Session Packs, Add-Ons, or Drop-in pricing option.

New Web Lead

Triggers when a new lead is created via web.

- Applicable when a potential client initiates a plan purchase on the trainer’s website but does not complete the transaction.

Troubleshooting and Support

If you encounter any issues while creating or using Zaps with FitBudd, here are some steps to troubleshoot:

  1. Check Connections: Ensure FitBudd and the connected app authenticate properly in Zapier.

  2. Review Zap History: Check the Zapier history to see if there are any errors in the trigger or action steps.

  3. Contact Support: If you're still having trouble, contact Zapier or FitBudd support for assistance.
